  • Job Description:

    POSITION HOURS:

    Total of 20-25 hours a week. Monday through Friday 2:30pm-6:00pm, occasionally for special events during the week between the hours of 6pm and 9pm. An additional 5 planning hours a week.

    POSITION SUMMARY:

    The Site Coordinator manages the weekly session programs and provides administrative oversight in accordance with all Association policies and NY State regulations as applicable. The Site Coordinator directly supervises participants and staff, and motivates them to participate in daily activities

    ESSENTIAL FUNCTIONS:

    1. Manage implementation of the weekly program sessions, including daily schedules, planning, staffing and alternate program options, resulting in a safe and engaging program experience.
    2. Assist in the development of the weekly programs, field trips, guest speakers and special events.
    3. Maintain all required records: attendance, parent communications, rosters, payments, check-in/out, medical issues, accidents, etc.
    4. Provide on-site supervision and direction for staff, including effective parent/family communications, active participant and staff participation, adherence to the mission and policies of the YMCA, enforcing site program and safety rules, completion of staff time worked records, etc. Complete staff performance evaluations.
    5. Works collaboratively with the staff to create a positive staff and participant experience. Effectively communicates successes, needs and concerns.
    6. Responsible to ensure safety and cleanliness rules and procedures are followed at all times. Carry out emergency and first aid needs.
    7. Hold program staff meetings, as directed, to discuss upcoming events, site needs, programming and any areas for improvement.
    8. Attend YMCA meetings and recruitment events as required by Manages, directs and coordinates the child care program for assigned location. Ensures high quality programs and establishes new program activities. Expands program within the community in accordance with strategic and operating plans.
    9. Assures compliance with state and local regulations as they relate to program areas. Ensures that YMCA program standards are met and safety procedures followed.
    10. Provides for upkeep of assigned program facilities and equipment and ensures the physical environment supports healthy living.
    11. Develops and maintains relationships with state child care licensing agency, school administration, parent groups and other organizations and agencies related to assigned programs as applicable. Responds to all agency, parent and community inquiries and complaints in a timely manner.
    12. Maintains proper records/department files, bills Department of Social Services documentation as required.
    13. Organizes special events for parents. Assists in YMCA fund raising activities.
    14. Assists in the marketing and distribution of program information. Distribute and collect parent and participant evaluations.
    15. Compiles program statistics. Monitors and evaluates the effectiveness of and participation in programs.
    16. To promote the physical, intellectual, social, cultural and emotional well-being of the children.
    17. Ensure regular and timely communication with the Program /Branch Director regarding programming, child and staff issues.
    18. To be on site during the full duration of each program segment.
    19. Ensure adequate supplies for planned programs, food, etc.
    20. Be a role model for staff on following work site requirements regarding customer service, language and communication, punctuality, appropriate dress, staff meetings, safety, etc.
    21. Other duties as assigned.
  • Required Skills/Experience:

    QUALIFICATIONS:

    1. Bachelor’s degree in related field or equivalent preferred.
    2. One to two years related experience preferred, as a coordinator or supervisor of child care or teen programs.
    3. Per the NYS Department of Health, the director must be a minimum of 21 years of age, and Must pass the DOH and required background and child abuse report screenings.
    4. Experience leading and motivating staff.
    5. Knowledge, experience and skills in the areas of group work/activities, child development, values and education are preferred.
    6. CPR, First Aid, AED certifications within 60 days of hire. Child Abuse prevention and Sexual Harassment trainings upon hire and annually thereafter. All certifications must be kept current.
    7. Demonstrated mastery of varied and learner-centered teaching methods and skills that promote independence.
    8. Ability to relate effectively to diverse groups of people from all social and economic segments of the community.

    Ability to plan, lead and participate in activities.

    Vision, hearing, speech and movement abilities in order to provide safe supervision of children at all times.
